Responsibilities of the Conferences and Scientific Events Department
- Receiving and distributing announcements for conferences, seminars, and training courses organized by external institutions, both Egyptian and international, to relevant university faculties and institutes.
- Collecting and processing faculty travel requests for attending conferences domestically and internationally.
- Submitting conference participation requests to the Vice President for Postgraduate Studies and Research and the University President, ensuring all required documents are complete.
- Maintaining records of faculty members’ conference participation and tracking the university’s financial contributions to their attendance.
- Creating a geographical database that tracks conferences held in various countries and records faculty members nominated for each event.
- Issuing university presidential decisions regarding financial support for conference participation (covering partial travel expenses and per diem allowances) if the faculty member is presenting research or chairing a session.
- Notifying the Ministry of Higher Education (General Administration for Cultural Relations) to obtain necessary ministerial approvals when the ministry co-funds 50% of the expenses, while informing the relevant faculty and university finance department.
- Coordinating with the Ministry of Foreign Affairs to obtain approval when faculty members represent Egypt at international conferences.
- Receiving and reviewing faculty reports on their conference participation, which are then presented to the Postgraduate Studies and Research Council.
- Compiling a comprehensive archive of faculty reports on conferences, seminars, and scientific missions.
- Processing faculty requests to host local conferences at university branches, securing necessary approvals, and informing the Public Relations Department and, when applicable, the Ministry of Foreign Affairs (if international participants are involved).
